01 / ROOM TO IMPROVE

Your business grows.
Does manual work grow too?

When progress depends on someone remembering the next step, the process needs attention.

Data keeps moving by hand

Email, spreadsheets and CRM work in isolation. People enter the same information again and again.

Approvals get stuck

Decisions disappear in chats. Nobody can see who owns the task or what is holding it up.

The picture arrives too late

Reports are compiled manually. Overdue work surfaces when the team is already dealing with the consequences.

02 / WHAT WE CAN IMPROVE

Start with the process
that slows you down.

Choose a familiar situation. These are potential solution scenarios, not EKO client case studies.

01 / EKO

From enquiry to the next step

Requests from different channels enter a queue with a clear owner and status.

How to design the process →

Email or form → data validation → CRM → assigned task

AI can suggest a category and draft a reply. The manager checks the content before sending.

What we measureFirst response time · missed enquiries

Connect the tools you already use

CRM, 1C, ERP, email, spreadsheets and APIs. We check integration options and data access during the audit.

03 / AS-IS → TO-BE

First, a better process.
Then, automation.

Remove unnecessary steps before development. Define the process owner, exceptions and acceptance criteria.

AS-ISAs it works today

  1. Request in an email or chat
  2. Manual search and data entry
  3. “Who is approving this?”
  4. Result without a shared history

TO-BEAs it should work

  1. One point of entry
  2. Rules and data validation
  3. An owner and a decision route
  4. Result, status and an activity log

04 / YOUR DIGITAL COLLEAGUE

AI prepares.
People decide.

An agent helps with text, search and decision preparation. Actions follow agreed rules and access permissions.

People review AI-prepared documents and approve actions

How we design solutions

A defined task

One scenario, specified sources and a result that can be checked.

Limited permissions

API access only to the data and actions the task requires.

Approval before action

Payments, important documents and other significant actions require an authorised person’s decision.

Logs and exceptions

Activity history, a way to stop execution and human review of ambiguous situations.

✳If rules can solve a task reliably, we use conventional automation.

05 / OUR APPROACH

One process.
Verified impact.
The next step.

A focused pilot keeps the start manageable. Timing and cost are agreed after we understand the process.

Analysts identify a bottleneck and design an improved workflowDiscuss your project ↗
  1. 01

    Audit

Examine the current workflow, data, constraints and manual operations.

Output: an AS-IS map and priorities.
  2. 02

    Design

Agree the TO-BE process, integrations, rules, roles and metrics.

Output: pilot scope and acceptance criteria.
  3. 03

    Pilot

Test one scenario using an agreed data sample. Compare it with the baseline.

Output: measurements and an implementation decision.
  4. 04

    Implement & improve

Connect live systems, train the team and agree support arrangements.

Output: a working process and documentation.

06 / WHAT MATTERS

Progress you
can verify.

The process comes first

We choose technology to fit your task and your existing environment.

Impact is measured

Record cycle time, manual operations and errors before and after the pilot.

Delivery can be assessed

Agree test scenarios, documentation and responsibilities in advance.

A FEW MORE QUESTIONS

Before we talk

Do we have to replace every system?

Not necessarily. First we check what can be connected using APIs or available data exchange methods. Replacing a system is a separate decision, not a starting requirement.

Does every process need AI?

No. Predictable operations can use rules and conventional automation. AI is useful for unstructured text and preparing possible decisions.

How long does a pilot take and what does it cost?

That depends on the data, integrations and scope. After the audit, we agree deliverables, timing, cost and success criteria.

What should we prepare?

A short description of how the process starts, who is involved, which systems it uses and where delays occur. No confidential data is needed for the first conversation.

How to reduce manual reconciliation across 1C, Excel and CRM

Start with one reconciliation task: define field sources, matching keys and tolerances. Automation should surface discrepancies for accountant review, rather than silently change accounting records. Explore the process and pilot criteria →

How to automate payment request approvals

Replace approval chats with a route that has required data, owners and clear statuses. Automation can prepare requests and check rules; the payment decision remains with an authorised person. Explore the process and pilot criteria →

How to reduce manual management reporting work

Reporting automation starts with agreed metric definitions and sources. Systems can collect data and highlight variances, while managers check the evidence and make decisions. Explore the process and pilot criteria →

How to stop losing website, email and CRM enquiries

Put enquiries into a queue with an identifier, an owner and a next-action deadline. Before adding AI, establish reliable delivery, duplicate handling and visibility of unprocessed requests. Explore the process and pilot criteria →

Which cities do we target?

Our priority is small and medium-sized businesses in Moscow. Other target cities include Saint Petersburg, Novosibirsk, Yekaterinburg, Kazan, Nizhny Novgorod, Krasnoyarsk, Chelyabinsk, Samara, Ufa, Rostov-on-Don, Omsk, Krasnodar, Voronezh, Perm and Volgograd. Feasibility, delivery format and any on-site assessment are agreed for each task. This list does not imply offices in those cities.

START WITH YOUR TASK

Which routine would
you remove first?

Describe one process. In our first discussion, we can identify what to test and what information an assessment would need.

  • ✓ No commitment to implementation
  • ✓ No system access needed to start
  • ✓ No impact promises before testing
