How to stop losing website, email and CRM enquiries

Put enquiries into a queue with an identifier, an owner and a next-action deadline. Before adding AI, establish reliable delivery, duplicate handling and visibility of unprocessed requests.

Where enquiries get lost

A form reports success before saving, an email reaches the wrong person or a repeated request creates a duplicate. Even a working CRM cannot help if enquiries never reach it. Audit the full route: source, delivery, storage, assignment and next step.

What a reliable route looks like

Validate fields and assign an identifier. Store the request before showing success, then deliver it to the agreed tool. Delivery failures need retries, a visible status and an accountable owner. Repeated submissions should not silently create duplicate tasks.

What to agree with the team

Define request categories, assignment rules, response times and substitutes. Cover out-of-hours enquiries, missing data and requests with no obvious owner. A team member should see the expected next action, not just another lead.

Adding AI with oversight

AI may suggest a category, extract context and draft a reply. Important messages retain manager review. Uncertain or incomplete requests go to a person. Automation must not invent terms, dates or promises to customers.

Which metrics to compare

Measure receipt-to-assignment and first-response time, ownerless enquiries, duplicates and delivery failures. Assess form conversion alongside enquiry quality. More submissions alone do not prove more sales.

A website is the entry point, not the entire enquiry system. EKO treats the form, queue and integration as separate parts of one task. Start with one channel and one route. CRM or email delivery must be configured within an agreed scope; installing a landing page does not provide it automatically.

Start with drafts reviewed by a manager. Define autonomous actions for a specific scenario after testing.
